1. Who we are and what this covers

LearnEAI, Inc., 711 Ferris Avenue Suite 103, Waxahachie, TX 75165, is responsible for the personal information described here. This policy covers learneai.com, our learning platform, our registration forms and our summer camps. Write to us at info@learneai.com.

We work with students. We collect what we need to run a program and keep a child safe, and no more.

2. What we collect

From you, the parent: your name, email, phone, billing details and your relationship to the student.

About the student: name, age or date of birth, school, the adults authorized to collect them, and the interests they tell us about.

Health and safety information: allergies, medical conditions, medication and emergency contacts. We treat this as sensitive and restrict who can see it.

Program information: the work a student produces, their progress, their video updates, and photos and clips from a camp week where you have consented.

Technical information: pages visited, device and browser type, and the IP address your request came from. We use this to run and secure the site.

We do not ask students for more than the program needs, and we never require a student to give us information to take part in an activity.

3. Why we use it

To run the program your family enrolled in, including teaching, supervision and contacting you.

To keep students safe, including medical care, sign-out checks and emergencies.

To take payment, meet tax and accounting duties, and keep records the law requires.

To improve our programs, using aggregated information that does not identify a student.

To send you service messages about your enrollment. We send marketing email only to adults who ask for it, and every one has an unsubscribe link. We never send marketing to a student’s own address.

4. Children under 13

We follow the US Children’s Online Privacy Protection Act. A parent or legal guardian enrolls the student, and that enrollment is where we obtain verifiable parental consent to collect a younger child’s information.

We do not condition a child’s participation on giving us more information than the activity reasonably requires. We do not show behavioral advertising to children and we do not sell or share their information for advertising.

As a parent you can review what we hold about your child, correct it, ask us to delete it, and withdraw your consent, which ends further collection. Write to info@learneai.com and we answer within 30 days.

5. Camps at partner schools

A camp runs on a school’s site. The school manages its own building, its own records and its own safeguarding duties, and it is responsible for the information it holds as a school.

We share with the host school only what it needs to host the week safely: the roster, arrival and pick-up arrangements, and the health information its staff need on site. Where a school asks us to sign a student data agreement, we do.

6. Who we share it with

Service providers who work on our instructions: payment processing (Stripe), our database and file storage (Supabase), site hosting (Vercel), registration forms (Tally), site analytics (Google Analytics), email delivery, and the AI providers behind the guide in our lessons. They may use the information only to provide their service to us.

The host school and the camp lead for your child’s week, as described above.

Professional advisers, and authorities where the law requires it or where a child is at risk of harm.

We do not sell personal information, and we do not share it for cross-context behavioral advertising.

7. AI tools and student work

Our lessons include an AI guide, and camp teams build with commercial AI tools. When a student uses the guide, their question and the lesson context go to the AI provider so it can answer.

We instruct students not to put other people’s personal information into these tools. Each provider handles what is submitted under its own terms, and we choose providers whose terms are appropriate for schoolwork.

8. How long we keep it

Enrollment and safety records: for the program, and afterwards only for as long as we need them for accounting, insurance and legal reasons.

Health information: deleted within 12 months of the program ending unless you ask us to keep it for a following year.

Student work and the parent portal: kept while the account is open. Tell us to delete it and we do, apart from anything the law requires us to keep.

Camp photos and clips: kept for two years so families can come back for them, or deleted sooner on request.

9. How we protect it

Information is encrypted in transit and at rest. Access is limited to the people who need it for their role, and staff who work with students complete training before a camp week.

No system is perfect. If a breach puts your family at risk we tell you and the relevant authority without undue delay.

10. Your rights

Wherever you live, you can ask us for a copy of what we hold, ask us to correct or delete it, and object to a particular use. Write to info@learneai.com.

If you live in Texas, or in another US state with a privacy law such as California, you also have the right to confirm what we process, to obtain a portable copy, to correct or delete it, and not to be discriminated against for exercising these rights. We do not sell your information, so there is nothing to opt out of on that front.

If you are in the UK or the EU, you have the equivalent rights under the GDPR, including the right to complain to your supervisory authority.

11. Cookies

We use the cookies the site needs to work, such as keeping you signed in. We use Google Analytics to see which pages families read. We have switched off its advertising features and its use of Google account data, and for visitors in the European Economic Area, the UK and Switzerland it sets no cookies at all. We do not use advertising cookies and we do not track you across other websites.

12. International transfers

We are a global company and some of our providers process information outside your country. Where that happens we use the safeguards the law requires, including standard contractual clauses.

13. Changes and contact

We update this policy when our programs or our providers change, and the date at the top of the page shows the last revision. For anything about your family’s information, write to info@learneai.com and we answer within 30 days.
