Who is with your child

A LearnEAI camp lead runs the site for the week. A team coach works with each team of about five students. Coaches are educators, normally teachers from the host school.

Every adult who works with students completes a background check before camp, to the standard the host school and the state require. Anyone who has not cleared it does not work with students.

Adults are never alone and out of sight with a single student. Conversations with students happen in the room, in view of others.

What they are trained on

Camp leads complete LearnEAI training before their first week, including a module on student care and escalation scenarios, and a full walkthrough of the camp day.

Training covers recognizing when a student is struggling, how to respond, who to tell, and how to hand a concern to the LearnEAI team the same day. Coaches complete the parts of the training that apply to their role.

Arrival, pick-up and who can collect

Students sign in with the camp lead at 9:00 and sign out at 15:30. We release a student only to the adults you list at registration.

If someone else will collect your child, or your child travels home alone, tell the camp lead in writing before that day. If you are delayed, call the camp lead and a coach stays with your child.

The camp lead takes attendance at the start of the day and after lunch, and contacts you if your child does not arrive.

Health, allergies and medication

At registration we ask for allergies, medical conditions, medication and two emergency contacts. The camp lead keeps this on site and shares it only with the coaches who need it.

Students keep and take their own medication where their age and your instructions allow. Tell us in writing about anything that needs staff involvement, and we will tell you what the host school can support.

For an injury or illness we care for your child, contact you first, and call your emergency contacts if we cannot reach you. In an emergency we call the emergency services first and you immediately after.

The site and emergencies

Camps run on partner school campuses. We follow the school’s emergency procedures, including evacuation and lockdown, and the camp lead walks the site before the week starts.

Students stay in the camp areas agreed with the school. Visitors sign in at reception. The business partner meets students in the camp room with staff present.

Anything we cannot resolve on site goes to the LearnEAI team the same day, and we tell you about anything that affected your child.

How students treat each other

Students work in teams, so how they treat each other matters as much as what they build. Bullying, harassment, discrimination and exclusion are not tolerated, and staff address them the moment they see them.

Serious behavior, or behavior that keeps disrupting the week, can end a student’s place. We talk to you before that happens wherever the situation allows.

Students who feel uncomfortable can talk to any coach or to the camp lead. Nobody is asked to solve it on their own.

Online safety and AI use

Camp work happens on the school’s network and on LearnEAI, where staff can see the team’s progress. Sessions and messages stay on our platform, never in a private channel between an adult and a student.

Students learn to check what AI tools produce and are told not to enter anyone else’s personal information into them. Phones stay in bags during working blocks.

Photos and what you receive

Coaches take photos and short clips through the week for your parent portal and the media package on Friday. We ask for your consent at registration and you can opt out at any time.

We never publish a photo of your child outside the parent portal without separate permission from you, and we never name a student alongside a photo without it.

Raising a concern

Speak to the camp lead first. Their name and phone number are in your confirmation, and they answer during the camp day. For anything you would rather raise away from the site, write to info@learneai.com and we answer within one business day.

If you believe a child is at immediate risk, call the emergency services first and then tell us.
